Portsmouth Water are delighted to have an opening for a Data Protection Assistant in our highly regarded Company Secretarial department which consists of Company Secretariat, Data Protection, and Executive Secretarial Administration.

In this role, you will support the Data Protection Officer to provide support to a range of data protection activities to ensure regulatory and legislative compliance; playing a key role in facilitating transparency, accountability, and integrity across Portsmouth Water.

What will you be doing?

Key Responsibilities

Provide support to the Data Protection Officer with investigations, assessments and reporting of data breaches, identifying root causes and supporting the implementation of corrective actions

Complete daily audits to ensure data protection compliance within the CRM system

Manage and administer the Data Protection inbox

Assist with the administration of data erasure/rectification/restrict processing requests

Assist in the management of the end-to-end process for EIR compliance (issuing of EIR internally and ensuring a response is collated within regulated timescales)

Assist the Data Protection Officer with the end-to-end process for a SAR (initial review, locating data, collating data, transcribing calls, redaction, preparation of response)

Support the collation of data for internal and external reporting

Assess suppliers on the company’s supplier procurement tool for data protection related compliance

Work closely with the Data Protection Officer to manage and escalate risks, complaints and breaches

Run and distribute monthly personal data breach reports throughout the business

Manage version control of data protection policies and procedures on the Document Management System

Support the production of data protection training across the business (i.e. bulletins, awareness campaigns)

Monitor employee data protection e-training compliance

Assist in the preparation of reports for management on Data Protection matters

Provide ad-hoc support to the wider Company Secretarial department

What do you need?

Skills, Qualifications & Competencies

Understanding of the confidentiality issues associated with handling personal, confidential and special information

Relevant experience in handling, planning, collating and organising data

Expertise in multi-tasking and managing numerous internal and external deadlines

In-depth communication skills for collaborating with a range of stakeholders

First class written and verbal communication skills, able to engage senior stakeholders

Excellent accuracy and attention to detail

Able to work under pressure, but also remain focussed whilst undertaking arduous tasks

Able to take own initiative, make decisions, be proactive, and work without close supervision

Practical experience of working in a customer-facing environment/role

Experience in a compliance-related role (ideally with a data protection focus)

Knowledge of the Data Protection Act 2018 and the UK General Data Protection Regulation
