**Job Title:** Administrative Assistant
**Role Summary:**
Provide comprehensive front‑office and clerical support for a non‑profit/library setting. Handle mail, telephone, customer service, data entry, basic bookkeeping, and inventory management while ensuring smooth daily operations. Position is on‑site with required French language proficiency.
**Expectations:**
- 1 – 2 years of relevant administrative experience.
- Ability to work independently, multitask, and maintain high attention to detail.
- Strong oral and written communication in French (and English).
- Proficient with MS Office (Word, Excel, Outlook, PowerPoint), Adobe Acrobat, and basic accounting software.
- On‑site presence required; no remote work option.
**Key Responsibilities:**
- Receive, sort, route, and distribute incoming/outgoing mail and packages.
- Answer phones, relay calls/messages, and respond to electronic inquiries.
- Greet visitors, direct them to appropriate contacts, and provide front‑desk/customer service.
- Perform data entry, compile statistics, conduct research, and maintain records.
- Order and inventory office supplies and materials; manage stock levels.
- Process payments, credit cards, vouchers; perform basic bookkeeping and cash deposits.
- Prepare, photocopy, collate, and file documents; support shipping/receiving logistics.
- Provide general clerical assistance to staff, including preparing reports and requisitions.
**Required Skills:**
- Proficiency in French (spoken and written).
- MS Office Suite (Word, Excel, Outlook, PowerPoint) and Windows environment.
- Familiarity with accounting/billing software and Adobe Acrobat Reader.
- Excellent organizational, judgment, and client‑focus abilities.
- Strong multitasking, accuracy, and teamwork orientation.
**Required Education & Certifications:**
- Secondary (high school) graduation certificate.
