Job Title: Junior Group Document Manager
Role Summary
Responsible for creation, maintenance, control, and distribution of group‑wide governance documents. Manages full document lifecycle, establishes version control, ensures regulatory compliance, maintains single source of truth, and supports audits and governance forums.
Expectations
Deliver accurate, up‑to‑date policies, procedures, and standards. Enforce versioning, approval, retention, and destruction protocols. Provide prompt reporting, maintain audit readiness, and serve as primary contact for document governance queries.
Key Responsibilities
- Design and implement a structured document management system across the group.
- Keep all governance documents (policies, procedures, standards) current, approved, and consistently formatted.
- Implement version control, review cycles, and archiving per regulatory and internal requirements.
- Manage content and access for governance platforms (e.g., Confluence, Astute, shared repositories).
- Coordinate document migration, updates, and lifecycle management across systems.
- Maintain the group’s “golden sources” and document libraries to ensure a single source of truth.
- Maintain a central register of documents with review/renewal dates.
- Conduct periodic quality checks for clarity, consistency, branding, and regulatory compliance.
- Monitor compliance with document management obligations; prepare reports for governance forums.
- Partner with business, compliance, and risk teams to capture updates and changes.
- Act as key contact for document governance queries and liaise with the Data Protection Officer on data governance matters.
- Support audits, group initiatives, and regulatory reviews with documented evidence.
Required Skills
- Document lifecycle management (version control, retention, archiving, secure destruction).
- Knowledge of document governance requirements, approval protocols, and regulatory reporting.
- Familiarity with FCA regulations and compliance frameworks.
- Experience managing golden source repositories and ensuring single‑source accuracy across platforms.
- Understanding of data protection and information security principles; ability to coordinate with DPO.
- Ability to produce monitoring reports and support audit compliance.
- Proactive, solutions‑oriented mindset; handles confidential information with integrity.
- Strong organisational, project management, and attention‑to‑detail skills.
- Excellent communication for stakeholder engagement across functions and geographies.
Required Education & Certifications
- Bachelor’s degree in Business, Law, Information Management, or related field.
- Certifications in Document/Records Management (e.g., Certified Records Manager) or similar are preferred.
