Job Description
Job Title: Vendor Maintenance Coordinator Role Summary Coordinate the setup, maintenance, and accuracy of vendor records in the accounting/ERP system, ensuring compliance with tax regulations and internal controls, and serving as the primary liaison for vendor information management. Expectations - Accurately input and update vendor data in the ERP system. - Ensure compliance with company policies, tax laws, and payment terms. - Maintain data integrity by preventing duplicates and correcting errors. - Respond to vendor inquiries and coordinate issue resolution with cross‑functional teams. - Support audit activities, year‑end reporting, and audit documentation. Key Responsibilities - Set up new vendors after verifying documentation (W‑9, tax IDs, banking details). - Update vendor records with changes to address, banking information, payment terms, and contacts. - Verify vendor data for accuracy and completeness. - Monitor vendor master data for duplication and consistency. - Respond to vendor questions regarding setup, updates, and status. - Coordinate with accounts payable, procurement, and compliance to resolve vendor issues. - Conduct periodic audits of vendor master data, correcting inaccuracies. - Assist with year‑end reporting (e.g., 1099 forms). - Provide vendor documentation and reports for internal and external audits. - Maintain confidentiality and protect sensitive vendor information.
