We’re hiring an Administrative Coordinator to support the MBTA Safety Documentation team in a highly visible, regulatory-facing role. This position plays a key part in coordinating OTIP observations, regulatory scheduling, reporting, and cross-department communication with agencies such as DPU and FTA.

Position: Administrative Coordinator (hybrid)

Location: Boston, MA

Client: Commonwealth of MA

Duration: Through June 2026

Job Description:

Serve as the main liaison between MBTA and regulatory agencies for OTIP scheduling
Coordinate daily and weekly observation schedules across transit rail systems
Manage communications with internal departments and external agencies
Maintain electronic logs and safety documentation records
Prepare regulatory and internal reports
Track, troubleshoot, and escalate OTIP-related issues
Represent Safety Documentation in meetings and audits
Support administrative operations within the Safety Documentation department

Core Requirements:

Strong administrative coordination and organizational skills
Excellent written and verbal communication
Experience with documentation, scheduling, and reporting
Proficiency in Microsoft Office, Excel, SharePoint, PowerPoint
Ability to manage multiple stakeholders and priorities
Attention to detail and professionalism
1–3 years of administrative or customer service experience
Experience with regulatory or compliance environments is a plus
