Meeting Room Support Specialist
Location: Onsite – Downtown Toronto
Schedule: EST, Standard business hours with flexibility for after-hours events

Position Overview
We are seeking a skilled Meeting Room Support Specialist to manage the end-to-end support, maintenance, and enhancement of our meeting room technology infrastructure. This role involves working across multi-OEM environments including Crestron, Lenovo, Cisco, and Polycom, while supporting meeting room builds, upgrades, new deployments, and user demands. The ideal candidate will also utilize scripting capabilities to automate processes, ensuring a seamless and consistent collaboration experience for all users.
Key Responsibilities
1. Meeting Room Support & Troubleshooting
Provide daily operational support for meeting room technologies, including video conferencing, AV equipment, and control systems.
Diagnose and resolve technical issues across Crestron, Lenovo, Cisco, Polycom, and other OEM platforms.
Act as the primary escalation point for meeting room issues, including VIP support scenarios.
2. Meeting Room Builds & Upgrades
Participate in the planning, design, configuration, and deployment of new and upgraded meeting room solutions.
Collaborate with stakeholders to gather requirements and deliver high-quality, user-centric meeting room experiences.
Conduct thorough testing, validation, and integration with enterprise collaboration tools such as Microsoft Teams, Zoom, and Webex.
3. New Demand & Project Implementation
Support new meeting room build demands, office expansions, relocations, and project rollouts.
Work with project managers, facilities, and vendors to ensure solutions meet design and quality standards.
Maintain detailed documentation of meeting room designs, configurations, installations, and upgrades.
4. Scripting & Automation
Utilize scripting languages (PowerShell, Python, etc.) to automate configurations, monitoring, and system updates.
Develop scripts to streamline tasks such as provisioning, firmware updates, device checks, and performance analysis.
Integrate meeting room systems with enterprise monitoring and management platforms.
5. Collaboration & Stakeholder Engagement
Partner with IT, facilities teams, vendors, and end users to ensure room technology aligns with business needs.
Provide user training, quick guides, and support documentation for meeting room usage and troubleshooting.
Participate in regular system health reviews and reporting sessions.
6. Proactive Monitoring & Maintenance
Monitor system performance and proactively address issues to prevent disruption to meetings.
Maintain an updated inventory of meeting room assets; support lifecycle management and replacement planning.
Stay informed of OEM updates, new features, standards, and best practices to keep systems current and secure.
Key Qualifications & Experience
3+ years supporting meeting rooms or AV collaboration systems within a multi-vendor (Crestron/Lenovo/Cisco/Polycom) environment.
Strong understanding of video conferencing, AV control systems, and integrated meeting room hardware/software.
Practical experience in building, configuring, and maintaining meeting rooms.
Proficiency with scripting languages (PowerShell, Python, etc.) for automation.
Excellent troubleshooting skills with the ability to handle pressure during live issues.
Effective communication and interpersonal skills for working with end users, vendors, and cross-functional teams.
Preferred Skills & Experience
Experience with Microsoft Teams Rooms, Zoom Rooms, or Webex Room systems.
Understanding of networking concepts (VLANs, QoS) relevant to AV environments.
Familiarity with remote monitoring and device management platforms.
OEM certifications (Crestron, Cisco, Polycom) or AV-focused credentials.
ITIL Foundation certification or experience working with ITSM platforms such as ServiceNow.
