Job Title: Executive Assistant Role Summary: Provide executive-level administrative support to the Co‑CEOs, managing schedules, coordinating meetings, and ensuring seamless day‑to‑day operations within the office. Act as the central liaison for office facilities, vendor relationships, budgeting, and employee needs, fostering an efficient and collaborative workplace. Expectations: - Highly proactive, detail‑oriented, and solution‑driven. - Demonstrated ownership of tasks and initiatives. - Ability to adapt quickly to changing priorities and to handle multiple responsibilities simultaneously. Key Responsibilities: - Manage executive calendars, schedule meetings, and coordinate logistics. - Oversee all operations of the office: supply ordering, equipment maintenance, catering, and workspace readiness. - Build and maintain relationships with vendors and service providers; negotiate contracts and manage service agreements. - Track office budgets, author expense reports, and monitor vendor spend. - Identify operational issues and implement efficient, sustainable solutions. - Design, document, and continuously improve office processes and communication workflows. - Plan and execute internal events (team socials, holidays, celebrations). - Collaborate with Operations team on cross‑functional initiatives to improve employee experience and office culture. - Serve as the primary point of contact for employees on any office‑related inquiries. Required Skills: - Excellent organization, planning, and time‑management. - Strong written and verbal communication. - Attention to detail and high accuracy. - Project and facilities management. - Problem‑solving and decision‑making. - Flexibility, adaptability, and a can‑do attitude. - Strong interpersonal skills and customer‑service orientation.
