Job Description
**Job title** Executive Assistant **Role Summary** Provide high‑level administrative support to senior business unit leaders, managing calendars, travel, meeting coordination, expenses, and visitor liaison to enable leadership focus on strategic priorities. **Expectations** - Maintain confidentiality and professionalism in all interactions. - Deliver organized, timely support while handling competing priorities and last‑minute changes. - Act as a proactive partner, anticipating needs and initiating solutions. - Collaborate with cross‑functional teams to support executive events and meetings. **Key Responsibilities** - Manage diaries for multiple senior leaders: schedule appointments, set up internal and external meetings, and prioritize calendar events. - Plan and coordinate travel arrangements, including bookings, itineraries, and accommodation. - Participate in meetings to record minutes, track action items, and ensure follow‑up. - Welcome visitors, provide information, and direct them to the appropriate executive or department. - Compile and submit expense reports, ensuring accuracy and compliance with policy. - Serve as first point of contact for all administrative requests and inquiries. - Work collaboratively with other support functions to prepare for and execute corporate events and meetings. **Required Skills** - Proven experience as an Executive Assistant or similar role supporting senior executives. - Advanced calendar and travel management proficiency (Outlook, Teams, Concur/API). - Strong organizational skills with the ability to juggle multiple tasks under tight deadlines. - Excellent written and verbal communication; adept at interacting with stakeholders at all levels. - Problem‑solving mindset, remaining calm and effective under pressure. - Initiative, discretion, and reliable self‑management of workload. **Required Education & Certifications** None specified.
