Job Description
**Job title:** Executive Assistant **Role Summary:** Provide comprehensive administrative and executive support to senior directors and the cabinet, managing schedules, correspondence, documentation, and event coordination to ensure efficient operations and effective decision implementation. **Expectations:** • 5+ years experience in executive assistance, preferably within the public sector. • Strong secretarial expertise and mastery of office software (Word, Excel, PowerPoint, Outlook). • Excellent teamwork, communication, discretion, dynamism, responsiveness, rigor, and organizational skills. **Key Responsibilities:** 1. Coordinate and maintain directors’ agendas, arrange meetings, and prepare supporting materials. 2. Manage and distribute incoming and outgoing correspondence, drafting and routing responses. 3. Record meeting minutes, produce action‑item follow‑ups, and track implementation of decisions. 4. Draft concise briefing notes and key messaging for director’s representation. 5. Create and format PowerPoint presentations for meetings and public events. 6. Compile director dossiers, set quality and deadline standards, and liaise with intermediate management. 7. Handle confidential and sensitive files, ensuring secure storage and appropriate access. 8. Organize receptions for delegations, including foreign delegations, coordinating logistics and hospitality. 9. Manage directors’ travel and representation expenses, ensuring compliance with policies. 10. Oversee the financial administration of publication subscriptions and other budget items. 11. Conduct information monitoring and update the director’s contact database. 12. Support service event planning in collaboration with the General Secretariat. **Required Skills:** - Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). - Strong written and verbal communication in French and English. - Calendar and travel management expertise. - Accurate minutes‑taking and document drafting. - Confidentiality and discretion in handling sensitive information. - Proactive problem‑solving and adaptability in a fast‑paced environment. - Event coordination and vendor liaison experience. **Required Education & Certifications:** - Bachelor’s degree in Business Administration, Public Administration, or related field (equivalent experience considered). - Certification in Office Management or Executive Assistance is a plus.
