**Job Title:** Commercial & Events Coordinator (M/F) – Hotel Alpina **Role Summary:** Support the hotel’s sales and MICE (Meetings, Incentives, Conferences, Exhibitions) operations by managing group reservations, coordinating event logistics, and ensuring high‑level client service throughout the customer journey. **Expectations:** - Deliver professional, proactive service to group clients before, during, and after their stay. - Maintain accurate records and follow‑up on contracts, billing, and client requests. - Collaborate effectively with internal departments and external agencies. - Uphold the hotel’s brand image and sustainability commitments. **Key Responsibilities:** - Track and update group bookings in the reservation system (rooming lists, client specifications, invoicing). - Manage contracts, liaise with travel agencies, and prepare group arrivals. - Set up and supervise meeting/seminar rooms according to client briefs and hotel standards. - Coordinate technical, catering, and refreshment services for events. - Organize internal and external hotel activities and events. - Serve as the primary point of contact for clients, ensuring satisfaction and fostering repeat business. - Facilitate communication between reception, F&B, technical, and other support teams. - Support the external sales team and coordinate with sister properties when required. **Required Skills:** - Strong interpersonal and commercial orientation with excellent presentation and communication skills. - High level of organization; ability to handle multiple dossiers simultaneously. - Proactive, dynamic, curious, and team‑oriented mindset. - Advanced Microsoft Excel; proficient in hotel PMS and CRM systems. - English proficiency at B2 level or higher. - Familiarity with Canva or similar visual communication tools (preferred). **Required Education & Certifications:** - Bachelor’s or Master’s degree (Bac+3 to Bac+5) in Business Administration, Hospitality Management, Event Management, or related field. - Significant experience in commercial management, event coordination, or hotel operations (experience in a 4‑ or 5‑star property is a plus).

Expectations: Deliver precise administrative support, uphold the hotel’s client‑service promise, and collaborate effectively across commercial, operational, and event departments to ensure seamless group experiences. Key Responsibilities: - Enter and maintain group reservations and rooming lists in the hotel’s PMS, updating client requests and tracking billing. - Classify and monitor tours series contracts, liaise with travel agencies, and prepare groups for arrival. - Welcome groups and their key contacts, ensuring a warm and professional reception. - Set up meeting rooms per client briefs, adhere to internal guidelines, and refresh amenities as needed. - Coordinate with the Best Mont‑Blanc cluster’s external commercial team. - Act as a continuous liaison with hotel departments (reception, catering, technical services) to meet guest needs. - Organize internal and external hotel events and activities. - Maintain a high level of customer satisfaction, anticipating needs and fostering loyalty.
