Job Description
Job Title: Administrative Secretary (M/F) Role Summary: Provide comprehensive administrative support to enable efficient operation of the organization’s social and medico‑social services. Manage correspondence, documentation, scheduling, and data entry while contributing to stakeholder communication and facility coordination. Expactations: - Strict adherence to confidentiality and ethical standards. - Proven punctuality, reliability, and proactive communication. - Ability to handle high‑volume tasks under tight deadlines. - Commitment to continuous improvement and effective teamwork. Key Responsibilities: - Process and archive correspondence, reports, and general documents. - Draft accurate minutes for meetings and distribute action items. - Generate and maintain dashboards using PROGDIS and report activity metrics. - Serve as first point of contact: welcome visitors and field telephone inquiries. - Coordinate office logistics: filing, supply inventory, room scheduling, and bulletin board updates. - Disseminate pertinent information and communicate updates to staff and clients. Required Skills: - Advanced proficiency in Microsoft Word, Excel, and internet tools. - Strong written and verbal communication in French (English preferred). - Excellent organizational, time‑management, and multi‑tasking abilities. - Team‑player with initiative and problem‑solving mindset. - Knowledge of child protection and social services appreciated. Required Education & Certifications: - Minimum Bac “Technologique” or professional secretarial diploma. - Any relevant certification in office administration or data management is an asset.
