**Job Title**
Administrative Assistant – Head & Deputy Head of Division (MENA.1)
**Role Summary**
Provide comprehensive secretarial and administrative support to the Head and Deputy Head of the MENA.1 Division, facilitating daily operations, communications, travel, and event planning. Coordinate with division staff and external partners to ensure efficient workflow and timely delivery of outputs.

**Key Responsibilities**
- Diary management: schedule, coordinate, and resolve conflicts for executive-level meetings
- Phone and correspondence triage: filter, route, and record incoming/outgoing communications (ARES, CIS, e‑BRIEF, etc.)
- Document handling: register, upload, archive, and ensure timely clearance of briefing materials and outputs
- Travel & mission support: arrange and process mission orders, visas, and expense declarations (MIPS) for staff
- Meeting and event logistics: organize workshops, briefings, and official visits, providing full logistical support
- Mailbox administration: manage functional mailboxes, disseminate requested information and documents
- Personnel administration: maintain holiday, leave, and absence records; assist with routine HR tasks
- Perform ad‑hoc tasks as directed by the Head of Division
**Required Skills**
- Advanced proficiency in English (EU official language)
- Working knowledge of a second EU official language (e.g., French, Spanish, Italian, German)
- High-level Microsoft Office (Word, Excel, PowerPoint, Outlook) usage
- Familiarity with internal EU platforms (ARES, CIS, e‑BRIEF)
- Strong written and verbal communication skills
- Attention to detail, confidentiality, and deadline orientation
- Ability to work independently and collaboratively in a multinational setting
**Required Education & Certifications**
- Minimum of a secondary school diploma (high school level) or equivalent
- Successful completion of the EPSO CAST for a valid function group II position (or registration in the EPSO Permanent CAST; passing the CAST exam required for recruitment)
- Proof of proficiency in required language(s)
