Job Title: Business Operations Executive Assistant – Systems & Management
Role Summary: Provide executive-level support to the CEO while managing operational systems, onboarding, and cross‑functional coordination in a manufacturing environment. Drive process improvement, leverage technology, and ensure smooth workflow across teams.
Expectations: Deliver precise, timely support to C‑suite, maintain organizational structure, manage workflow, coordinate meetings, and apply tech solutions to optimize productivity.
Key Responsibilities:
- Coordinate weekly leadership meetings, quarterly planning, and scorecard execution.
- Translate business strategy into actionable communication and internal follow‑up.
- Act as liaison between the CEO and cross‑functional teams; manage onboarding (tech access, SOPs, system setup).
- Oversee operational workflows using Microsoft 365 (Planner, Teams, SharePoint).
- Develop, document, and maintain SOPs and process documentation.
- Implement and experiment with AI and productivity tools (Copilot, Notion AI, Power Automate).
- Manage project coordination among managers; support OKR and reporting cadence.
- Maintain operational dashboards (Power BI, Power Automate) as needed.
Required Skills:
- Minimum 5 years experience in office management, business operations, and executive assistance to C‑suite.
- Proven management of cross‑functional teams.
- Experience supporting senior leaders in manufacturing or high‑growth SMEs.
- Strong project management and coordination abilities.
- Proficient in business cadence: leadership meetings, OKRs, reporting.
- Highly organized, systems‑oriented, proactive.
- Tech‑savvy: Microsoft Office 365 (Planner, Teams, SharePoint); familiarity with AI tools (Copilot, Notion AI); interest in Power BI, Power Automate, dashboards.
Required Education & Certifications:
- Bachelor’s degree in Business Administration, Operations Management, or related field (or equivalent experience).
- Relevant certifications (e.g., PMP, Microsoft Certified: Power Platform App Maker) considered a plus.
