Job Title: Administrative Assistant – Junior Role Summary: Provide comprehensive administrative support to the Branch Administrator and the Executive Director, enabling smooth and efficient branch operations. Manage scheduling, communication, filing, and routine office tasks within a fast‑paced environment. Expectations: - Deliver accurate, timely administrative assistance. - Maintain professionalism and confidentiality. - Adapt to changing priorities and support multiple stakeholders. Key Responsibilities: - Manage the Executive Director’s calendar, coordinate meetings, appointments, and logistical arrangements. - Organize, tag, categorize, and prioritize messages in shared inboxes; ensure clear follow‑up and communication flow. - Maintain electronic and physical filing systems; facilitate quick retrieval of records. - Prepare correspondence, reports, presentations, and other documents; provide general admin support to the Branch Administrator. - Collaborate with internal teams and stakeholders to ensure smooth workflow and effective communication across the branch. Required Skills: - Strong organizational and multitasking abilities. - Excellent written and verbal communication. - Proficiency with office software (e.g., email, calendar, document creation, spreadsheets). - Attention to detail and ability to maintain accuracy under tight deadlines. - Team player with proactive problem‑solving attitude. Required Education & Certifications: - High school diploma or equivalent; additional education in business administration or related field preferred. - No specific certifications required.
