Job Description
Job Title: Buying Administrative Assistant Role Summary: Deliver comprehensive administrative support to the Buying Team, managing calendars, purchase orders, inventory, sample coordination, market research, and trade‑meeting preparation to ensure the timely and accurate delivery of merchandise. Expactations: Execute admin tasks accurately and promptly, maintain organized records, communicate effectively with suppliers and internal stakeholders, proactively solve problems, uphold core values, and adapt to a fast‑paced, collaborative environment. Key Responsibilities: - Oversee calendars, scheduling, travel, and key planning tools for the buying team. - Raise SKUs, create and track purchase orders, update web descriptions and compositions. - Monitor inventory levels and ensure timely system updates. - Coordinate sample management, prepare fit sessions, and liaise with suppliers, e‑commerce and marketing teams. - Conduct market research, analyze sales data, support trend board creation, and identify product opportunities. - Prepare and support trade‑meeting presentations and documentation. - Maintain sample room organization and track critical paths across departments. - Ensure accurate SKU and PO processes while staying informed on menswear trends. Required Skills: - Proficient in Microsoft Office (Excel, PowerPoint, Outlook). - Basic mathematical and data‑analysis capabilities. - Familiarity with order‑entry or purchasing systems. - Strong organizational, multitasking, and time‑management abilities. - Detail‑oriented with excellent written and verbal communication. - Ability to work independently and collaboratively under pressure. Required Education & Certifications: - High school diploma or equivalent (preferred). - Prior experience in administrative support within fashion, merchandising, or retail (preferred).
