Job Title Senior Administrator – Financial Services Role Summary Lead the end‑to‑end management of document execution for a financially regulated firm, ensuring compliance, accuracy, and efficient coordination between internal teams, external stakeholders, and global partners. Expectations - Deliver high‑quality administrative support in a fast‑paced environment. - Demonstrate ownership, independence, and strong initiative. - Maintain confidentiality and professional discretion at all times. Key Responsibilities - Prepare, review, and organize all documents required for signing across multiple time zones. - Act as gatekeeper, ensuring adherence to established processes by all teams. - Coordinate notarization, legalization, and translation services, scheduling appointments and managing document logistics. - Keep detailed, up‑to‑date records of signed documents and entity lists. - Assist quarterly with the preparation of board papers. - Perform ad‑hoc administrative tasks as directed. Required Skills - Proven office administration experience in a dynamic setting. - Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, Teams, PowerPoint). - Strong organisational, communicative, and proactive abilities. - High attention to detail and accuracy. - Confident, outgoing, and capable of building professional relationships. - Ability to work independently and take ownership of tasks. Required Education & Certifications - Minimum: A‑level equivalents, Diploma, or Bachelor’s degree. - No mandatory certifications required, but familiarity with financial services regulations is an advantage.
