Job title: HR & Finance Coordinator
Role Summary: Coordinate core HR, finance, and administrative functions across multiple European countries, ensuring compliance, accuracy, and efficiency under the Senior HR Business Partner.
Expectations: Deliver reliable HR and finance operations on a fixed-term contract; maintain data integrity, support recruitment, manage mobility and office administration; work independently with strong ownership and cross‑cultural communication.
Key Responsibilities:
- HR Administration (50‑70%): Execute contracts, onboarding/offboarding, payroll coordination; ensure compliance with local labor laws for Belgium, France, Netherlands, Germany, and other expansion markets; maintain employee records; manage compensation & benefits; handle mobility programs, fleet, and relocation; support limited recruitment activities; own HRIS tools, reporting, and process automation; contribute to HR projects in partnership with HR Business Partner.
- Finance & Accounting (20‑40%): Book invoices, expenses, and payments using NetSuite, Payhawk, Embat, Invopop, and Zone & Co.; assist monthly closings, reconciliations, and invoicing; monitor employee expenses and travel budgets; support financial compliance for new country setups; prepare statutory audit documentation and respond to external auditors.
- Office Management & Administration (10%): Coordinate office infrastructure, coworking spaces, energy contracts, suppliers; monitor IT licenses and equipment; maintain contract database (suppliers, insurance, SaaS tools); act as point of contact for insurance matters; organize internal events; optimise office documentation and processes.
Required Skills:
- Strong organizational and interpersonal skills; discretion with confidential data.
- Proficiency in Google Workspace, Excel; experience with NetSuite or similar ERP is a plus.
- Solution‑oriented, self‑motivated, independent with minimal supervision.
- Energetic, proactive, creative, and a team player with excellent intercultural communication.
- Fluent in English and French.
Required Education & Certifications:
- Degree in Business Administration, HR, Finance, Office Management, or related field.
- Recent graduate with relevant internship experience in HR or 1‑3 years professional experience in HR administration, finance support, or office management.
