Job Description
Job Title: Assistant Office Manager Role Summary: Support the Office Manager in managing the headquarters’ facilities, administrative processes, and internal communications. Handle building operations, vendor relations, event coordination, and documentation to ensure a safe, efficient, and welcoming work environment. Expectations: - Current student or recent graduate undertaking a 6‑month internship or apprenticeship. - Ability to work independently and manage competing priorities. - Strong communication and interpersonal skills. Key Responsibilities: 1. **Facilities & Building Operations** - Monitor and respond to staff requests for general services. - Participate in office layout and workspace projects. - Coordinate with vendors (cleaning, snack services, exterior maintenance, security) to maintain building performance. - Conduct routine inspections, identify issues, and resolve tickets via the internal system. - Manage ordering and delivery of office supplies and furnishings. 2. **Administrative Management** - Process and track invoices from service providers using the internal tool. - Assist in managing service contracts (reception, landscaping, maintenance). 3. **Internal Communications & Events** - Draft internal communications on topics such as facilities updates, safety, and events. - Support planning and execution of headquarters events (conferences, showroom visits, training sessions, wellness activities). Required Skills: - Excellent organization and time‑management; ability to juggle multiple tasks. - Strong written and verbal communication; polished interpersonal skills. - Problem‑solving aptitude and proactive approach to facility issues. - Basic knowledge of facility and building safety standards is a plus. Required Education & Certifications: - Enrollment in or completion of a business school or hospitality program, preferably with a focus on Office Management, Facilities Management, or related discipline. - Valid student status or recent graduation qualifying for internship/apprenticeship.
